XploreFees is a complete fee management system in one Excel file for schools, play schools, tuition centres, coaching institutes and academies in India. Set your fee structure once. After that, every student’s monthly fees, receipts, pending dues and reminders are worked out for you. There’s no software to install and no monthly charge per student.

What you can do with it
- Set a class-wise fee structure with up to 8 fee heads: monthly, quarterly, half-yearly, annual or once at admission.
- See each student’s fees month by month automatically, with transport, concession %, previous dues and admission or leaving dates taken into account.
- Print fee receipts (parent copy and office copy on one A4) with automatic numbers and the amount in words.
- Get a defaulter list sorted by balance, with months pending, suggested late fee and a one-click WhatsApp reminder.
- Answer parents with a student statement. Give management a class-wise summary and give the accountant a day book.
Features
Fee structure
- Up to 8 fee heads, for example admission fee, annual charges, tuition, computer, exam and activity fees.
- Due months for each head: All (every month), Admission (once, for new admissions), or any months you name, such as Apr or Sep,Mar.
- Different amounts for up to 20 classes or batches. Choose which heads the student concession applies to.
Students & fees
- Up to 500 students: class, section, WhatsApp number, admission date, transport per month, concession % with reason, and previous session’s dues.
- Fees start from the month of admission and stop when a student leaves. The admission fee is charged only to new admissions.
- For every student: fees due till date, paid, balance, months pending, suggested late fee and “paid up to” month.
Receipts & collection
- Up to 3,000 receipts per session. Type the admission number and the name and class fill in.
- Payment by cash, UPI, bank transfer, cheque or card, with a reference number. Late fee is kept as a separate amount.
- Printable receipt showing the balance still due.
- Day book for any date with mode-wise totals (how much cash to deposit), plus month-wise collection.
Reports
- Defaulters: filter by class and minimum balance, then send a WhatsApp reminder with your UPI ID in one click.
- Student statement: each month shown as paid, part paid or pending, plus every receipt.
- Class summary: fees due, collected, pending, collection % and number of defaulters for each class.
- Dashboard with month-wise collection and pending-by-class charts.

Requirements
Microsoft Excel 2016 or later on Windows or Mac. No macros, works offline. One file per session. WhatsApp reminders need WhatsApp Web or the WhatsApp app.
